Privacy Policy

What we collect, why we collect it, and who else touches it.

Last updated: August 5, 2026

This policy covers impressprintingsb.com, the customer relationship tool our staff uses, the client portal at impressprintingsb.com/portal, and our accounting integration. It is written to be read, not to be impressive.

We are Impress Printing & Professional Services, 5055 Hallmark Parkway, Unit E, San Bernardino, CA 92407. You can reach us at admin@impressprintingsb.com or (909) 884-1121.

1. What we collect

Information you give us

  • Quote and contact forms — your name, email, phone, company, and whatever you tell us about the job.
  • Event registrations — name, email, phone, company, number of seats, and any question you submit.
  • Client portal accounts — your name, email, the company you belong to, and the artwork, proofs, orders and invoices tied to that company.
  • Business cards you ask us to scan — if a member of our staff scans a card you handed them, the text on that card becomes a contact record.

Information we collect automatically

Our host records standard server logs — IP address, browser type, pages requested, timestamps — for security and troubleshooting. We do not run advertising trackers, and we do not sell or rent anything about you to anyone.

2. How we use it

  • To quote, produce and deliver your printing.
  • To reach you about a job, a proof, or a question you asked.
  • To tell you when it may be time to reorder something you buy on a cycle.
  • To send you information about our services, if you asked for it or are a customer. Every marketing email has an unsubscribe link that works.
  • To keep our own books straight and meet tax and legal obligations.

We do not use your information to train artificial intelligence models, and our vendors are engaged on terms that do not permit them to train on it either.

3. Who else handles it

Running this business means using other companies' software. Each of these sees only what it needs to do its job:

ServiceWhat it handles
NetlifyHosts the website and its server functions
SupabaseDatabase and file storage for the CRM and client portal
GoHighLevelContact records, tags and follow-up messaging
ResendSends transactional and notification email
Google Cloud VisionReads text off a scanned business card
AnthropicPowers assistive features in our staff tool, such as organizing a note
fal.aiTranscribes a staff voice memo attached to a customer record
Intuit QuickBooksAccounting, invoicing and our customer list

We also disclose information when the law requires it, and to our own professional advisors under a duty of confidence. If the business is ever sold or merged, customer records would transfer as part of it.

4. The QuickBooks connection

Our staff tool connects to our own QuickBooks Online company so that a customer entered in one place does not have to be typed into the other. This connection is authorized once by an administrator of our QuickBooks account.

The connection requests accounting permission only. It does not request payment permission, which means it has no ability to charge a card or move money. It never receives banking login credentials and cannot initiate a transfer. It reads and writes accounting records such as customers and invoices.

The access tokens for this connection are held server-side and are not exposed to any browser. The connection can be revoked at any time from within QuickBooks under Apps, which immediately ends our access.

5. The color picker

Our color picker reads your image entirely inside your own browser. The file is never uploaded to us and never reaches our servers. Nothing about the image is stored.

If you choose to use the optional "email me the sheet" box, we receive only your name, your email address, and the resulting color codes — never the image. Doing so creates a contact record, because you have asked us to send you something.

6. How long we keep it

Customer and order records are kept for as long as you are a customer and afterwards for as long as tax, accounting and legal requirements demand — generally seven years. Inquiries that never become jobs are kept while they are still useful and then deleted. Server logs roll off on our host's schedule, typically within thirty days.

7. Your choices and rights

Write to admin@impressprintingsb.com and we will act on any of the following:

  • Ask what we hold about you, and get a copy.
  • Correct anything that is wrong.
  • Ask us to delete it, where we are not required to keep it.
  • Stop marketing email — either use the unsubscribe link or just tell us.

California residents have these rights under the CCPA as amended, including the right not to be discriminated against for exercising them. We do not sell personal information and we do not share it for cross-context behavioral advertising. We will not ask you to create an account in order to make a request.

8. Security

Traffic is encrypted in transit. Portal and staff accounts are individually credentialed, and portal accounts are scoped so that a company sees only its own orders, invoices, artwork and proofs. Secrets and integration tokens are stored server-side only, in a store that application users cannot read.

No system is perfect. If a breach ever affects your information, we will tell you and the appropriate authorities as the law requires.

9. Children

This is a business-to-business printing service. It is not directed at children under 13 and we do not knowingly collect their information. If you believe a child has given us information, contact us and we will remove it.

10. Changes

If we change this policy we will update the date at the top. Material changes affecting how we use information you already gave us will be communicated directly.

Questions about any of this: admin@impressprintingsb.com or (909) 884-1121.
